Modern Slavery Statement

Modern Slavery is both a crime and a violation of fundamental human rights. The term ‘Modern Slavery’ encompasses many forms including slavery, servitude, human trafficking and forced and compulsory labour, all of which incorporate the loss of an individual’s freedom by another to exploit them for either personal or commercial gain.

Arena Event Services Group Ltd (‘Arena’) are dedicated to promoting the dignity and respect of all people working for and on behalf the company and therefore, has a zero-tolerance approach to any form of modern slavery including the violation of child labour laws. We are committed to acting ethically and with integrity in all business dealings and relationships and to putting effective systems and controls in place to safeguard against any form of modern slavery taking place anywhere within the business or our supply chains.

We are committed to ensuring there is transparency in our business and in our approach to tackling modern slavery throughout our supply chain, consistent with our disclosure obligations under the Modern Slavery Act 2015 (UK). We require the same high standards from all our partners be they contractors, suppliers, and other business partners, as part of our contracting process. We include the specific prohibition of forced, compulsory, or trafficked labour, or anyone held in a position of slavery or servitude, and we expect our suppliers to hold their own suppliers to the same high standard.

This policy is not to be considered part of any employee’s contract of employment and we may amend it at any time.

Our Business

Arena provides event overlay services, designing and delivering complete temporary environments for the most prestigious sporting and cultural occasions in the global calendar. Our event sector operations include divisions in the UK, USA, Dubai, Malaysia and Hong Kong and we operate with more than 300 supply chain of partners globally.

Our High-Risk Areas

Due to the many varied projects we undertake it is necessary at times for us to employ from within local communities. This is achieved primarily through agencies that specialise in providing temporary labour to the event industry.  At Arena we are aware that there is the possibility of persons being employed through these temporary employment agencies that are open to less robust procedures and seeks to minimise risk through only working with reputable recruitment agencies and conducting additional checks to ensure all employees are legally able to work and not being exploited.

1. Our Employees

Arena has implemented a series of measures and procedures aimed to safeguard against any form of modern slavery.

  • All employees go through pre-employment interviews, checks of identification and right to work documentation.
  • Before employment, every employee is issued with an employment contract with main terms and conditions clearly stated, including employee’s right to terminate their employment.
  • At the start of employment employees are issued with Employee Handbook which contains all main company policies and procedures affecting their employment. Any changes to the policies are communicated to employees through email, post or other relevant channels.
  • Arena safeguards further through ensuring that all employees are of age to legally work. In the UK on occasions when persons aged 16-17 years old are hired, their terms and conditions of employment are adjusted in line with UK legislation on employing of under 18s. No persons under the age of 18 are hired in our UAE and Malaysia establishments, in line with the local legislation.
  • Any changes to the terms and conditions of an employment contract are agreed with the employee by means of formal or informal consultation and communicated to the employee in writing.
  • HR aids managers and payroll to complete regular audits of rights to work and payroll information.
  • Arena has implemented strict health and safety policies and procedures to ensure safe environments for employees.
  • All Employees are given a Health and Safety company induction, and made aware of all Health and safety procedures, including how to report and process any concerns to health and safety.
  • All our suppliers and labour agencies are required to confirm they understand Arena’s Modern Slavery Policy and commit to the principles of this policy.
  • All managers undergo training to increase their awareness of modern slavery, its signs and what appropriate actions need to be taken if a concern is raised.
  • No Arena employee will be paid below National Minimum Wage rate.
  • All wages are paid directly into employees’ personal bank accounts only. Where it is not possible to do so, the Company will investigate the matter fully and come to an arrangement agreed upon with the employee.
  • The Company monitors and keeps a record of all hours worked to ensure that sufficient breaks are provided for a proper rest and that employees hourly rate never falls below minimum wage.
  • Where employees are required by the company to work away from home, they are provided with comfortable accommodation with all necessary facilities to meet their rest and hygiene needs.
  • The company never makes unlawful deductions from employees’ wages and does not charge them for any travel or accommodation costs.
  • Employees are empowered to raise any concerns directly through managers or HR, alternatively employees can raise concerns anonymously through elected employee representatives.
  • Arena’s Grievance Policy supports and guides managers and employees on any concerns raised by an employee in relation to their work. The policy encourages concerns to be raised informally in the first instance in order to promote an open and honest culture, however it also outlines the formal process in the event that concerns cannot be resolved through the informal route or in more serious cases (where appropriate) to deal with the matters formally. The grievance policy provides a clear guideline on how employees can raise their concerns, what will happen at any point and the potential outcomes of any investigation. The grievance policy also highlights to the employees that they may be accompanied at any meetings by a colleague or representative. The policy further offers employees an opportunity to appeal the decision.

2. Our Suppliers

Arena operates a supplier policy that maintains an approved supplier list. All suppliers regardless of size, spend or geographic location are expected to comply with our modern slavery policy and are required to undergo an approval process which requests disclosure of any violation of human rights and a declaration that they understand and will comply with Arena’s Modern Slavery Policy. Arena will undertake an online search to ensure that no organisation is approved as a supplier if it has committed offenses related to modern slavery. On site health and safety inspections will include a review of sub-contractors working conditions.

3. Responsibility for the Modern Slavery Policy

  • The company directors have overall responsibility for ensuring that this policy complies with our legal and ethical obligations, and that all those under their control comply with it.
  • The company will investigate any concerns raised and if necessary report the results of the investigation and concern to the modern slavery helpline (08000 121 700 or at in the UK, or to the local authorities in UAE and Malaysia. This could further lead to reporting the concern with the local law enforcement.
  • The Human Resource and Health & Safety Managers have primary day to day responsibility for implementing this policy, monitoring its use and effectiveness, dealing with any queries about it, and auditing internal control systems and procedures to ensure effective countering of modern slavery.
  • Management at all levels share the responsibility for ensuring that all persons they are responsible for understand and comply with the policy and are given adequate and regular training on it and the issue of modern slavery in supply chains.
  • Everyone is invited to comment on this policy and suggest ways that may be used to improve it. All comments, suggestions and queries are fully encouraged and should be communicated to either the HR Manager or the Head of HSEQ.

4. Compliance with the Modern Slavery Policy

  • The Modern Slavery Policy applies to everyone working for the Company or on our behalf in any capacity, including employees at all levels, e.g., directors, managers, agency works, volunteers, agency workers, contractors, external consultants, third-party representatives and business partners.
  • The prevention, detection, and reporting of modern slavery in any part of our business or supply chain is the responsibility of all those working for Arena or are under its control. Compliance with the policy is compulsory for all staff.
  • Employees must notify their manager, the HR Manager or other senior managers as soon as possible if they believe or suspect that a conflict with the policy has occurred or have reason to believe that it may occur in the future.   • Employees are encouraged to raise concerns about any issue or suspicion of modern slavery in any parts of our business or supply chains of any supplier tier.
  • Arena encourage openness and will support anyone who raises a genuine concern in good faith under the policy, even if they are mistaken. We are committed to ensuring no one suffers any detrimental treatment as a result of reporting in good faith their suspicion that modern slavery in whatever form is or may be taking place in any part of our own business or in any of our supply chains. Detrimental treatment includes dismissal, disciplinary action, threats, or other unfavourable treatment connected with raising a concern.

5. Communication and Awareness of the Modern Slavery Policy

  • All managers are required to complete training on modern slavery to increase their knowledge surrounding the topic and on the risk to the business faces from modern slavery in its supply chains.
  • Our zero-tolerance approach to modern slavery is communicated to all suppliers, contractors, and business partners at the outset of our business relationship with them and reinforced as appropriate thereafter.

6. Breaches of the Modern Slavery Policy

All breaches will be considered on a case-by-case basis by the relevant senior manager.

  • Any employee who breaches this policy will face disciplinary action, which could result in dismissal for misconduct or gross misconduct.
  • We may terminate our relationship with other individuals and organisations working on our behalf if they breach this policy.
  • Depending on the nature of the breach it is also possible that we may notify the police or refer the matter to an external agency, such as contacting the Modern Slavery Helpline on 08000 121 700 in the UK or the local authorities in UAE and Malaysia.
